The Manager of Special Events serves as the liaison between Polar Park’s non-game day private event clients, the WooSox Front Office, and the Club’s concessionaire partner. This person will be responsible for managing all details with clients while realizing opportunities to maximize revenue by upselling and offering enhancements to create outstanding events. This guest-facing position requires exceptional service skills, attention to detail, experience with planning and logistics, and an ability to remain calm and gracious under pressure.   

Responsibilities:
  • Maintain strong relationships with Worcester Red Sox personnel, clients, and concessionaire personnel, and ensure that event specifications are communicated and executed for memorable experiences for clients and their guests 
  • Prepare event documentation and coordinate with sales, operations, food and beverage, and clients to ensure consistent high level of service, including Banquet Event Orders, Pro Formas, Invoices, etc. as needed
  • Work directly with colleagues in many different areas of the team’s Front Office, including Corporate Partnerships, Oak View Group, Ticket Sales, Community Relations, Marketing, and the WooSox Foundation, to plan and execute internal events
  • Plan and execute in-house public events in order to drive additional revenue for the Polar Park Events department.
  • Assist with large scale, ballpark-wide events and/or multiple events at one time while also balancing workload for past and future events
  • Review sales contracts as well as other important information, including payment terms and special considerations, to ensure all deliverables are honored
  • Perform event supervision on-site on the day of events, including liaising with catering, security, facilities, and other areas of the event operation
  • Actively network to both maintain and increase event clientele 
  • Support Worcester Red Sox game day ceremonies and events on an as-needed basis
  • All other duties as assigned

Qualifications:
  • Bachelor's degree is preferred
  • 2 years in a hospitality or event services management role is preferred
  • Must have prior work experience within fast-paced, unstructured, and frequently changing environments. Industry experience within the hospitality or event industry is highly desired.
  • Excellent interpersonal skills with an outgoing and service-focused personality
  • Works well under pressure, with an ability to multi-task with strong organizational skills
  • Strong level of focus and commitment to providing a high level of customer service
  • High degree of professionalism
  • Bilingual or multilingual is a plus
  • Must be able to work flexible hours throughout the year, including nights, weekends, and holidays
  • Proficient in Excel, Word, PowerPoint, and Outlook.  Photoshop/social media experience is a plus.
