Overview

The Events Manager directs, supervises, & manages events from the advance planning stages through to the end of the event, ensuring client standards and contractual obligations are met or exceeded. This position reports directly to the Director of Operations.

 

This role pays a yearly salary of $50,000 to $60,000.

Responsibilities

  • Responsible for planning, coordinating, and facilitating the logistics of assigned events; act as liaison for building with all parties and departments involved in the event. 
  • Recruit, train, schedule, & evaluate event staff 
  • Contract all event production needs including coordinating with Union stagehands, medical, fire, security, audio/visual, licensing, & equipment event needs 
  • Coordinates and provides clear, concise, and timely communication with building staff of all requirements necessary for events by preparing and distributing detailed event resumes, diagrams, event staffing requirements, set-up requirements, general instructions and supporting documentation for each event using industry specific software. Communicate changes before and during events. 
  • Create and distribute detailed data sheets prior to every event as well as post event notes 
  • Develop and control event budgets including preparing Pre-Event Event Financial Estimates to clients based on potential operational costs during the event; coordinate the completion of Post-Event Financial Settlements 
  • Troubleshoot during event preparation and during event to ensure that all event setups are correct including making decisions about policy, procedures, billing and staffing 
  • Ensure that all event insurance certificates, licenses and permits required for events or production are obtained in a timely manner 
  • Coordinate with Finance as needed to ensure all event payroll & expenses and event folders are correct & paid 
  • Work with Director to ensure all laws, ordinances, & regulations, are followed  
  • Develop and implement with Director all venue event policies, risk management, crowd management, and emergency protocols 
  • Facilitate incident report training to Event Supervisors 
  • Attend various weekly scheduled building meetings 
  • Act as facility manager on duty as required 
  • Establish and maintain effective working relationships with clients, partners, patrons, & all stakeholders  
  • Communicate any problems and proposed solutions to executive team 
  • Complete all duties with a customer service focus through teamwork and dedication.

Qualifications

  • Bachelor’s degree from accredited college/university in a related field (Facility, Hospitality, Sports, or Business Management, or related field 
  • Minimum of 3-5 years' experience in event management setting (stadium, arena, convention center, or public assembly facility)  
  • Prior Supervisory responsibilities encouraged 
  • Communicate clearly and concisely, both orally and in writing 
  • Ability to function in a fast-paced, high-pressure environment, handle multiple tasks at one time, meet deadlines 
  • Must be self-motivated with strong leadership abilities and organizational skills  
  • Basic knowledge of Microsoft Office required 
  • Working knowledge and principles of events, fire and public safety regulations as well as relevant federal, state and local regulations. 
  • Familiar with A/V equipment, electronic systems, & AutoCad in relation to stadiums, arenas, convention centers or public assembly facilities 
  • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays and extended number of days
