Summary:   
The Coordinator of Athlete Care, Policy and Procedure is a critical role within the WTA Performance Health department, responsible for developing, writing, and implementing policies and procedures that ensure compliance with industry standards and best practices. This role will focus on integrating these policies into the Performance Health education program and ensuring their application within the medical documentation system. The coordinator will work closely with expert clinicians to gather insights and collaborate on an integrated approach to athlete care.
 
Essential Duties & Responsibilities:
Policy and Procedure Development:
  • Conduct a policy and procedure audit, create a standard document format, identify the experts, conduct thorough research, monitor compliance and effectiveness and set up a policy and procedure review cycle. 
  •   Ensure policies address all aspects of the WTA Sport Sciences & Medicine integrated care model.
Integration and Implementation:
  •  Integrate developed policies and procedures into the WTA Performance Health framework through effective communication and educational pathways. 
  • Collaborate with the medical documentation team to ensure policies are accurately reflected and utilized within the existing systems.
Education and Training:
  • Work closely with the education team to design and implement educational materials and training sessions for WTA staff, WTA health care providers, and other relevant stakeholders to ensure understanding and adherence to new policies.
Collaboration with Expert Clinicians:
  • Interview and collaborate with Performance Health leadership and expert clinicians to gain insights and ensure a comprehensive, evidence-based approach to policy development. 
  • Facilitate regular consultations to gather feedback and continuously improve policies and procedures.
Monitoring and Evaluation:
  • Monitor the implementation and effectiveness of policies and procedures, making adjustments as necessary based on feedback and performance metrics. 
  • Review and analyze medical documentation to ensure compliance and identify areas for improvement.
Documentation and Reporting:
  •  Maintain accurate records of policy changes, updates, and implementation processes. 
  • Prepare reports and summaries on policy impact, compliance rates, and areas for development for internal review.
Continuous Improvement:
  •  Stay abreast of advancements and research in sports medicine and athlete care to ensure policies remain current and effective. 
  • Participate in relevant conferences, workshops, and training to continually enhance knowledge and skills.
 
Education and Experience:
●       Bachelor's degree in healthcare/medical administration, public health (policy writer or analyst), sports medicine, sports management, or a related field is essential. A master’s degree or higher qualification (e.g., MPH, MBA, or an advanced degree in sports medicine) would be preferred. 
●       At least 3-5 years of experience in a role related to healthcare or public health policy writing, or athlete care is crucial. 
●       Demonstrated experience in developing, implementing, and evaluating policies and procedures, preferably in a health/medical care or sports environment.
●       Experience designing and delivering training programs and educational materials, especially related to healthcare or sports medicine.
 
Required Skills and Competencies:
  • Strong skills in drafting and updating policies, with a thorough understanding of healthcare standards, sports medicine practices, and compliance requirements.
  • Ability to manage multiple projects simultaneously, including the development, integration, and evaluation of policies.
  • Excellent written and verbal communication skills for creating clear policies, conducting training sessions, and collaborating with various stakeholders.
  • Ability to work effectively with expert clinicians, WTA leadership, and other stakeholders, including facilitating consultations and integrating feedback.
  • Proficiency in analyzing medical documentation, performance metrics, and feedback to monitor policy effectiveness and make data-driven improvements.
  • High level of attention to detail for maintaining accurate records, preparing reports, and ensuring compliance.
  • Commitment to staying updated with advancements in sports medicine, healthcare standards, and best practices through ongoing education and professional development.
  • Excellent interpersonal skills including an understanding of and experience working with a diversity and inclusivity awareness (cultures, languages, ethnicity, LGBTQ, religion, etc.) 
  • Cross-cultural & multilingual awareness, sensitivity, and experience 
  • Ability to address challenges and devise solutions to enhance athlete care and policy effectiveness.
  • Flexibility to adapt to changes in policies, healthcare regulations, and sports medicine practices.
  • While not always a formal leadership position, demonstrating leadership qualities such as initiative and the ability to influence others positively is important.

 Travel Requirements:
Minimal travel requirements. Travel to St. Petersburg, Florida for meetings upon request and/or specific tournaments as required.

None
 
Position Type/Work Schedule:
Full Time, 40 hours a week. Typical schedule will be Monday-Friday. Flexible to service outside of office hours including evenings and weekends.

Working Conditions
The noise level in the work environment is usually quiet to moderate. The passage of employees through the work area is average and normal.
 
Physical Demands
The employee is required to sit for long periods; use close/distant vision; hear using the telephone; bend at the waist and knee; communicate verbally and electronically with worldwide constituency; use hands and fingers to operate a computer and telephone keyboard. Must be able to lift 50 lbs. Must reference NATA and/or APTA guidelines for further physical demands.
