The Role and What You’ll Do:

The UFC Performance Institute (UFCPI) is the world’s first Mixed Martial Arts (MMA) multi-disciplinary research, innovation, and training center, and is globally recognized for the performance infrastructures it provides to UFC and UFC Academy athletes. With world-class facilities in Las Vegas, Shanghai, and Mexico City, the mission of the UFCPI is to promote performance-enhancement through the delivery of world-class coaching, science, and medical services to the world’s best MMA and combat athletes. The core values of the UFCPI are aligned to maximizing the health and wellbeing of UFC athletes and to support fighters and coaches in optimizing their training, preparation, and ultimately performances in the octagon. The successful candidate for this role will join an interdisciplinary team with a proven track record of delivering world-leading support services to MMA and other professional athletes.

The Administrative Assistant will facilitate the efficient operation of the UFC Performance Institute by performing a variety of clerical and administrative tasks. This role will primarily support the Senior Vice President of the UFCPI but will also provide assistance to other department leaders for specific projects and workflows, as well as general administrative support to the department overall.

  • Provides daily administrative support to the SVP, including coordinating and scheduling travel, meetings, and appointments; provides updates regarding any changes, postponements, or cancellations
  • Supports UFCPI operations staff to ensure the effective and efficient management of the UFC Performance Institute daily services and business operations.
  • Answers phone calls and directs callers with appropriate information accordingly.
  • Where appropriate, responds to emails and other digital queries and correspondence.
  • Drafts and edits letters, reports, presentations, and other documents.
  • Enters and updates information in databases and spreadsheets, including financial tracking and budgeting.
  • Prepares meeting agendas and records and distributes meeting minutes.
  • Schedules and coordinates logistics for team meetings, including room set up, AV, and any catering.
  • Supports administrative integration with the UFC Academies in Shanghai and Mexico City.
  • Supports UFC Performance Institute leadership with discrete tasks and workflows as directed by the SVP.
  • Assists with research as requested and compiles and summarizes pertinent information and insights.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with UFC privacy policies and regulations.
  • Ensures deadlines are met and supports in managing the SVP’s need to complete a diverse portfolio of tasks.
  • Presents a positive and professional image and works to support the daily needs of the department.
  • Other tasks, duties, and projects as assigned.

You Have These

  • High school diploma or GED required; bachelor’s degree preferred.
  • Two years of Administrative or Executive Assistant experience.
  • Proven ability to communicate with and provide support to individuals at all levels of the organization.
  • Experience working in a dynamic and fast-paced environment, preferably in an athletic department or sports organization setting.
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint
  • Ability to maintain strict confidentiality.
  • Detail-oriented with the ability to prioritize and manage multiple deadlines and ensure accuracy.
  • Strong interpersonal skills and a professional, courteous demeanor.
  • Familiarity with the “language of sports”.
  • Digital literacy and research skills, including the ability to analyze and manage information.
  • Project management and budget management experience preferred.
  • Self-motivated, proactive, and able to work both independently and collaboratively using good business judgment and common sense.
  • Ability to work non-standard hours as required, including evenings, weekends, and holidays.
  • Bilingual language skills a plus.
