Job Summary:

The booking coordinator is responsible for providing administrative and booking coordination support within the Booking Department. This role is responsible for working with promoters, agents and internal departments to build and strengthen relationships and support each event.

Key Responsibilities: 

  • Act as a liaison and first point of contact for the Booking Department.  Answer incoming messages and respond to booking inquiries and new client research.
  • Responsible for the internal ticket buy and complimentary ticket program for the company.
  • Coordinate offers, contracts, insurance and payment elements associated with 313 events and venues.  This includes MotorCity Casino.
  • Ensure all show deposits, prepayments and settlement checks/wires are obtained and processed timely- Front and back end of event. 
  • Prepare and distribute booking sheets for confirmed events as assigned.
  • Create and maintain all event files, which contain any and all information/communication pertaining to events.
  • Forward and communicate all appropriate booking or production information and contact names to all appropriate departments as needed.
  • Provide event and cost analysis for projects.
  • Create event and tracking reports as directed.
  • Monitor insurance and contract compliance for events (deposits, signed contracts, etc.).  Provide weekly tracking and status reports.
  • Provide administrative support to the SVP of Booking and Industry Relations.
  • Create and distribute presentations as needed.
  • Create and process all expense reports for the department, arrange travel when applicable.
  • Manage process with event group and applicable departments through various tasks such as show settlement, expense projection, and providing estimates.
  • Provide assistance, as needed, (creating proformas) to the organization on long-term agreements and offers.
  • Complete special projects as assigned.
  • File and organize financial documents.
  • Archive event files.
  • Other Duties as deemed necessary.


Required Knowledge, Skills and Abilities:

  • Bachelor’s Degree in finance, business, sports and entertainment management, accounting or other quantitative field.
  • Minimum of six years of related experience. Overall experience should include 1 year in business analytics or finance.
  • Equivalent combination of experience, education, and training which provides the knowledge and abilities necessary to perform the work at a high level of productivity and execution.
  • Possess the highest integrity and ethical standards.
  • Proven ability to use analytical, logical and organizational skills to make business decisions using complex information from multiple sources.
  • Problem solving skills that support and enable sound decision making.
  • Strong attention to detail and accuracy with high standards for quality; ability to keep accurate and detailed records.
  • Highly organized, self-directed business style, with strong ability to prioritize.
  • Demonstrated project management skills with coordinating efforts among various departments and staff levels.
  • Outstanding interpersonal and relationship building skills, with the ability to work across all functions and vertically at all levels of the organization.
  • Ability to manage multiple projects at once.
  • Outstanding ability to establish and maintain strong working relationships with clients, partners and co-workers.
  • Excellent verbal and written communication skills.
  • Strong computer skills with demonstrated proficiency in Microsoft Suite, specifically Excel and PowerPoint. 
  • Ability to work in a fast-paced environment.
  • Ability to work long or unpredictable hours on weekdays, weekends, and holidays as needed.


Preferred Knowledge, Skills and Abilities: 

  • Knowledge of the sports and entertainment industry.


Working Conditions:

  • Irregular and extended hours including nights, weekends, and holidays.
  • Exposure to high noise level.
  • Unpredictable hours including weekends, weekdays and holidays.
