Position Summary:
This position would provide and lead support to both internal and external parties with a high level of professionalism in a manner that reflects positively on the organization.  Managing the front desk, as well as any office needs, this person will need to be able to manage numerous ongoing priorities in a high-paced environment, supporting our HQ in Woburn, MA consisting of approximately 100 employees.  We are located in Unicorn Park.

This is an in-person, hourly position with the expectation of 20-25 hours a week, 4 days a week - schedule to change during busy times of the year.
 
Responsibilities: 
  • Manage front desk volume and requests, including meet, greet and direct all guests, vendors, etc. 
  • Administer the phone system with Tech – Answering any incoming calls, managing voicemails and distributing to the appropriate departments for response via email or forwarding along via the phone system
  • Be the general point of contact for HQ employees needs (i.e. office supplies)
  • Order supplies and stock numerous kitchens, supply closets items
  • Handle all shipping and receiving of mail and packages for the office
  • Open all mail and distribute appropriately 
  • Manage all catering for internal and external needs
  • Manage the booking, set up and breakdown for all meetings within HQ. This includes booking Tech to run point in meetings when needed, as well as tidying up all conference rooms spaces
  • Work with vendors as needed for services and maintenance (i.e. coffee service)
  • Work with our Facilities team as needed based on office needs
  • Handle binding for presentations for executive level staff as requested
  • Collaborate with Human Resources, assisting with new employee desk setups, and welcoming new staff
  • Complete ad hoc projects as assigned (i.e. help book Executive travel, assist with lunch orders)

Requirements
  • Minimum of 1-2 years’ experience as an Office Manager in a fast-paced corporate business preferred
  • Advanced knowledge of Microsoft Office (Excel/PowerPoint/Word)
  • Ability to work independently
  • People-Oriented - you enjoy interacting with people, making them feel welcome, as you are the first impression of 3STEP when folx come into our space
