Position Summary 
 
The executive assistant drives the success of the business by handling the day-to-day activities of the Executive Office and providing a range of complex administrative support services in a proactive and detail-oriented manner. The executive assistant thrives in a fast-paced environment and engages in their responsibilities with a strategic approach and efficient attitude.
 
FLSA Status: Exempt 
Pay Range: $55,000 – 70,000
Reports To: Chief Executive Officer (CEO)

Essential Job Functions
 
  • Provides high level administrative support and management for the CEO including, but not limited to, proactive management of the CEO’s calendar, partner with the CEO in prioritizing their daily schedule, troubleshoot scheduling as issues arise throughout the day, and ensure the CEO has the materials and preparation they need to be successful. Prepare the CEO and meeting participants for effective and efficient meetings, ensuring all are properly prepared and briefed 
  • Oversee the daily workflow of the CEO’s office, establishing effective systems, processes, and quality control measures, as needed
  • Serve as the primary contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organization policy
  • Manage a high volume of domestic and international travel logistics, including flights, accommodations, and transportation, and all CEO expenses while optimizing for efficiency 
  • Utilize expertise, discretion, and a comprehensive understanding of the CEO's priorities and preferences to manage and prioritize communications, meetings, travel, speaking engagements 
  • Serve as the primary lead for CEO driven meetings, including, but not limited to weekly Leadership Meetings, Strategic Planning Sessions, staff meetings and other internal and external meetings; prepare and anticipate needs in advance of meetings, organize all meeting logistics, schedules, agendas, tracking and reporting, note taking, preparation and follow through
  • Assist with special projects, events, and initiatives as assigned by the CEO, including, but not limited to preparing presentations and reports for the CEO
  • Support the executive team, as needed and represent the CEO’s perspective on team and culture as a lead contributor to the Culture Club, taking a proactive role in developing and delivering culture driven initiatives and experiences
  • Provide Board and governance support including, but not limited to, serving as the lead in managing the Board Meetings, preparing meeting notices, documents, presentations, and other materials; assist the Board with administrative needs, and proactively assist the Legal and Governance team by serving as an administrative point of contact for Board needs
  • Lead managing CEO driven goals and priority tracking system, reporting documents and meetings; Develop the Organizational Quarterly Report

Knowledge, Skills, and Abilities

  • Advanced skills in technical and computer programs (e.g. PowerPoint, Excel, Word, SharePoint, and Outlook, Adobe) and database management
  • Ability to exercise good judgement in a variety of situations, possess strong written and verbal communication skills 
  • Excellent organizational skills with the ability to prioritize and track multiple ongoing tasks
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality, perform duties with utmost discretion, and act with integrity
  • Advanced working knowledge of virtual meeting platforms such as Teams and Zoom
  • Ability to establish and maintain effective professional relationships with all staff levels, volunteers, key executives, and the public
  • Ability to deal with non-routine matters and special projects with minimum instruction and make sound decisions within the scope of authority
  • Meticulous attention to detail and ability to produce high-quality, error-free materials
  • Willingness to learn from others and be flexible when needed

Qualifications

  • Bachelor’s degree or equivalent; or the necessary experience that yields the required knowledge, skills, and abilities
  • Four to six years of experience providing high-level administrative support to senior or executive-level staff
  • Experience with managing a department/office 
  • Experience serving as Board of Directors support/liaison 
  • Experience developing executive-level presentation materials 
  • Prefer: experience supporting the CEO or equivalent

Other

  • Must be able to travel to board meetings, up to four times a year
  • May require work some nights and weekends
  • Other travel may be required, as needed
