What you’ll do:

  • T&E Report Tracking: Manage the Founder’s travel and expense (T&E) reports and help him save seconds in his day.Preview expense reports of executive's direct reports to ensure compliance with company policy.
  • Receipt Tracking: Match Uber/Lyft/Curb receipts to calendar events, fill in tip amounts, and determine meeting attendees.Research other transportation options considering sensitivity of calls.
  • Travel Arrangements: Coordinate comprehensive travel plans for the Founder, including flights, accommodations, and ground transportation.Be prepared for travel plans to often come together 24-48 hours in advance. Stay on top of the latest options for executive travel (e.g. P/S) and understand how certain options may be better depending on the trip departure/arrival cities.
  • Meeting and Calendar Management: Schedule and manage the Founder’s calendar, including developing a deep understanding of Founder’s preferences for booking and blocking his calendar. Use good judgment and proactive thinking when scheduling meetings in different time zones (e.g. do not suggest 3-4pm EST window for those on PST).Handle all correspondence and inbox management when necessary.
  • Senior Leadership Support: Prepare agendas for Senior Leadership Team meetings, document meeting minutes, and track action items.Plan and oversee company board meetings, offsites and events, managing all related logistics.
  • Process Improvement: Continuously identify opportunities to improve administrative processes, systems, and procedures to increase efficiency and productivity.
  • Client Relationship Management: Build strong interpersonal relationships with client counterparts to facilitate executive access.
  • Presentation and Document Preparation: Coordinate, build, and edit presentations for the Founder.
  • Board Participation Coordination: Manage the Founder’s participation in sporting events and board engagements.

What you have:

  • Associate degree preferred or equivalent experience.
  • Minimum 10+ years of proven administrative experience supporting executives.
  • Expertise in coordinating complex travel arrangements.
  • Strong interpersonal skills and a personable, approachable demeanor.
  • A positive, self-starter attitude with the ability to adapt and pivot as needed.
  • Proficient in Apple iOS, Keynote, Slack, Google Docs, and other organizational tools like Asana & Notion.
  • Knowledge and passion for sports are highly desirable.High level of confidentiality and discretion required.
  • Excellent verbal and written communication skills.Superior organizational skills with an aptitude for problem-solving.
  • Ability to work independently and as part of a team, managing multiple projects under tight deadlines.
